Project Manager (Freelance / Project-Linked)

Role type: Independent, project-linked contractor / freelancer  |  Location: Remote  |  Preferred availability: strong daytime coordination availability

This role sits above department Team Leaders in KlarityXpert's delivery hierarchy and is responsible for coordinating allocated client projects across departments from project activation through closure.

What You Will Do

• Take over allocated projects after commercial confirmation and project activation.
• Review the approved quotation/Sales Order, scope, deliverables, dependencies and client commitments.
• Own normal client communication, project updates, follow-ups and feedback intake.
• Consolidate client feedback before routing it to the concerned Team Leader.
• Coordinate multiple department TLs where a project involves more than one service line.
• Track deadlines, blockers, approvals, client inactivity, payment status and closure readiness in Odoo.
• Protect the client-facing timeline by escalating risks early and coordinating replacement/contingency where required.
• Arrange technical Google Meet sessions where a TL genuinely needs clarification.
• Ensure execution freelancers do not communicate directly with clients.
• Drive client review, survey collection, final payment and handover gates.
• Keep all material decisions, feedback, approvals and project updates properly documented in Odoo.

How the Role Works

Project Manager → Concerned Department Team Leader → Assigned Execution Freelancer

A PM may coordinate projects across any KlarityXpert department, but is responsible only for the projects actually allocated to that PM.

Communication Standard

During the PM's active coordination window, important client/internal communication should be acknowledged within 10 minutes. This means acknowledging ownership and giving a next-action/update time; full resolution may take longer.

Client Review & Closure

• Client feedback is consolidated before being sent to delivery teams.
• Standard client review window is 48 hours for consolidated approval/actionable feedback.
• 7 days client inactivity may place a project on hold; 30 days may permanently close it.
• Final source files/newly created ownership credentials/final handover are released only after client approval and full cleared payment.

Project-Linked Payout

• 4% standard PM pool on eligible successfully closed allocated projects.
• 5% perfect-performance PM pool only when every mandatory scored question in the client overall project survey is rated 5/5 and all normal closure gates are met.
• If the survey is not perfect, or is not received despite documented follow-up, the standard 4% tier applies.
• If multiple PMs share one project, the single applicable PM pool is divided based on documented contribution/allocation; it is not multiplied per PM.
• No fixed salary, guaranteed project volume, guaranteed monthly income or guaranteed future allocation.

Payout Timing

Once a project-linked PM payout becomes fully eligible, KlarityXpert follows the standard payout cycle: eligibility date + full 15-calendar-day buffer → first eligible 10th.

• Strong written and verbal communication.
• Comfortable coordinating several projects/teams at once.
• Excellent follow-up, documentation and deadline discipline.
• Able to understand scopes quickly and convert client conversations into structured actionable project information.
• Comfortable using Odoo, Google Meet and digital collaboration tools; AI/productivity tools may be used responsibly.
• Calm under pressure and able to escalate blockers before they become client-facing delays.

Important Working Terms

• This is an independent contractor/freelance role, not an employee appointment.
• No employee-style leave policy, fixed benefits or notice period applies.
• The PM may stop accepting future work at any time; KlarityXpert may also stop future allocation.
• Confidentiality obligations continue after the relationship ends for as long as the information remains protected/confidential.
• Client bypass/direct dealing is prohibited, with a targeted 12-month post-relationship client non-circumvention obligation, subject to applicable law.
• Serious misconduct, confidentiality breach, fraud, credential/data misuse, client bypass or repeated serious project failure may result in immediate offboarding/access revocation.

Onboarding Documents

Selected candidates sign three documents once during onboarding: (1) Project Manager JD & Payout Schedule, (2) Common Master Freelancer Agreement, and (3) Common NDA / Confidentiality Agreement.
